IMPLEMENTASI PENGADAAN SPARE PART DALAM MENDUKUNG KEGIATAN OPERASIONAL KAPAL DI PT PCS INTERNASIONAL

Abstract

Spare parts procurement is one of the essential activities in supporting the smooth operation of vessels. The timely availability of spare parts greatly influences maintenance activities, repairs, and the continuity of shipping operations. However, in its implementation, several obstacles were still found in the spare parts procurement process at PT PCS Internasional, particularly at the Purchase Request (PR) stage, which affected the optimization of ship operational activities. These conditions resulted in delays in spare parts procurement, which hindered engine maintenance activities, caused operational disruptions, and potentially generated financial losses for the company. This study aims to analyze the factors causing the ineffectiveness of the spare parts procurement process at the Purchase Request stage and to examine efforts that can be undertaken to optimize ship operational activities at PT PCS Internasional. The research employed a descriptive qualitative method with data collection techniques consisting of observation, interviews, literature study, and documentation. Data analysis was conducted using the Fishbone Diagram method to identify the factors contributing to the problems encountered. The results of the study indicate that the ineffectiveness of the Purchase Request process is mainly influenced by the man and method factors. The man factor includes the limited understanding of Fleet staff and ship personnel regarding the use of the Odoo system, while the method factor is caused by the Purchase Request process being conducted in two stages, namely through company email and re-entry into the Odoo system, resulting in a double process. Meanwhile, the suboptimal ship operational activities are influenced by the machine and material factors, namely machinery failures and delays in procurement, as well as inadequate monitoring of spare parts inventory. The proposed improvement efforts include conducting regular training and socialization programs on the use of the Odoo system, implementing the Purchase Request process directly through the Odoo system, enhancing routine monitoring of ship machinery conditions, and conducting periodic monitoring of spare parts inventory. Through the implementation of these measures, it is expected that the effectiveness of spare parts procurement and the smoothness of ship operational activities at PT PCS Internasional can be improved.
